Privacy notice

Last updated 12 October 2026

This notice explains what personal information Keelz collects, why, who it is shared with, how long it is kept and the rights you have over it. It covers the Keelz app, the website and the live demo.

We do not sell your information, we do not show advertising and we do not use tracking or advertising cookies.

01Who we are

Keelz is run by Lewis Huddy, a sole trader trading as Keelz, in the United Kingdom. He is the controller of your personal information for the purposes of UK data protection law. You can contact us about anything in this notice at myboatappuk@gmail.com.

If a boat is run by a fleet or hire business, that business decides what it records about its own customers and staff, and is responsible for that information as well.

02What we collect

Your account

  • Your name, email address and password. The password is stored only in scrambled (hashed) form by our sign-in provider; nobody can read it.
  • What you told us when setting up: one boat, a fleet (with the business name and boat names) or a hire booking.
  • A phone number if you add one, your units, reminder choices and other settings.
  • Your plan, trial dates and when you last used the app.

Your boats and records

The boat's details and identifiers (such as MMSI, call sign, HIN and registration number), equipment, engine hours, services, tests, safety kit, checklists, parts, costs, documents, photos and files. These are mostly about the boat, but they can include names, notes and anything shown in a photo or document.

Hire bookings and invoices

If you run a hire business: your customers' names, email addresses, phone numbers, booking dates and notes, invoices and payment records. If you are a hire customer, the hire business gave us these details when it made your booking.

Payments

When you subscribe to Premium, Square takes your payment on its own page. We receive your plan, the amounts, dates and status of payments and Square's reference for you. We never see or keep your full card number.

The assistant and the plate reader

The questions you ask the assistant, and photos of equipment plates you ask the plate reader to read. While “Answer from my boat records” is on, the assistant is also given a summary of the records you can see, so it can answer questions like “When did I last change the impeller?” It is on unless you switch it off with the switch under the chat.

Your location

The SOS screen reads your device's position only while it is open, to show it to you. It stays on your device: it is not sent to us or stored by us, unless you choose to share it yourself.

How the app is used

  • An activity log of the pages you open in the app and the changes you make, so problems can be traced and changes can be checked.
  • Standard technical logs kept by our hosting and database providers, such as IP address, browser type and the time of a request.
  • Emails you send us, and our replies.

03Why we use it, and our lawful basis

  • To provide Keelz to you (to perform our contract with you): your account, storing your records, showing a boat to the people who have access to it, sending the reminder emails you have switched on, hire bookings and invoices, and the assistant and plate reader when you use them.
  • To take payment and keep accounts (contract, and our legal obligations under tax law).
  • To help you finish setting up (our legitimate interests): if your account is not set up after a day, we may send up to three short reminder emails. Email us and we will stop them.
  • To keep Keelz secure and working, and to give support (our legitimate interests): the activity log, technical logs, and looking at an account or boat when you ask us for help.
  • To meet legal requirements (legal obligation), for example if the police or a regulator asks for information we are required to give.

We do not send marketing emails, and we do not make decisions about you by automated means that have legal or similarly significant effects.

04Who can see it

Inside Keelz

  • A boat's records can be seen by its owner and the people with access to it, such as the fleet manager of the business that runs it.
  • A hire customer sees only their own booking, their invoices, and the documents the owner chooses to share with them.
  • We can see accounts and records in order to run the service and to help when you ask for support.

The companies that help us run Keelz

These providers act on our instructions and may only use your information to provide their service to us:

  • Supabase stores our database, your photos and files, and handles signing in. Your records are stored in its data centre in London.
  • Vercel hosts the app and the website.
  • Resend sends our emails, such as reminders, booking and invoice emails and account messages.
  • Anthropic provides the artificial intelligence behind the assistant and the plate reader. It receives your question or plate photo to produce the answer. Under its commercial terms it does not use them to train its models, and it keeps them only for a limited time for safety and abuse monitoring.

Square takes subscription payments. It handles your card details itself, under its own privacy notice.

Anyone else

We only share your information with others when the law requires it, to protect people's safety or our legal rights, with our professional advisers, or if Keelz is sold or passed on, in which case the new owner would have to keep to this notice.

05Information sent outside the UK

Your records are stored in the UK. Some of our providers are based in the United States, so some information (for example a question to the assistant, an email being sent or a technical log) may be handled there. When that happens it is protected by the UK's data bridge with the United States, where the provider is certified under it, or by contract terms approved by the Information Commissioner.

06How long we keep it

  • Your account and records: for as long as your account is open.
  • When you close your account: we delete your account and the records only you can see within 90 days. Records you shared on a boat run by someone else, such as a hire booking, stay with that boat.
  • Payment and invoice records: for 6 years, because tax law requires it.
  • The activity log: up to 12 months.
  • Emails with us: up to 2 years after the matter is dealt with.
  • Assistant chats: we do not store them. The chat is kept in your browser tab and is gone when you close it.

07Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • have information that is wrong corrected;
  • have your information deleted;
  • ask us to limit how we use it, or object to how we use it where we rely on our legitimate interests;
  • receive your information in a format you can take elsewhere.

You can export your records at any time from Settings. For anything else, email myboatappuk@gmail.com. It is free, and we will reply within one month.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

08Cookies and storage on your device

Keelz does not use advertising or analytics cookies. It keeps a few things on your device that it needs in order to work, so it does not ask for your consent for them:

  • Your sign-in, so you stay signed in on that device until you sign out.
  • Whether you chose the light or dark look.
  • A copy of your boats' SOS details (name, MMSI, call sign, HIN and registration number) and a saved copy of the SOS screen, so it opens with no signal.
  • The assistant chat and a few small display choices, kept only until you close the tab.
  • In the live demo only: the sample records and the photos and files you add, kept in your browser and never sent to us. Reset demo clears them.

You can remove all of these at any time by clearing this site's data in your browser settings.

09Keeping it safe

  • Everything sent between your device and Keelz is encrypted.
  • The database checks every request, so each person can only see the boats and records they have access to.
  • Photos and files are kept in private storage and opened through links that expire.

No system is perfectly secure. If something goes wrong that puts your information at risk, we will tell you and the regulator where the law requires.

10Children

Keelz accounts are for people aged 18 and over. We do not knowingly collect information about children.

11Changes to this notice

We will update this notice when the way we use information changes. If a change affects you in a significant way, we will tell you by email before it takes effect.
